Accounting and reconciliation

Cash that balances. Every day.

Food Finance collects takings, payments, deposits and invoices from the entire network, compares them with what actually reached the bank and surfaces only the differences. On web, iPhone and Android, with the same numbers for everyone.

How it works

From the receipt to the bank, in three steps

Food Finance is the accounting system for networks with many locations. It collects takings, payments, deposits and invoices, compares them with each other and with bank movements, and delivers the result to web, iOS and Android with permissions by role, by page and by location.

01

Collection

Every night the fiscal closings arrive from the cash registers, along with issued documents, payment channel movements and purchase invoices. Quality checks stop a bad row before it reaches the accounts.

  • POS systems
  • Delivery
  • Banks
  • Invoices
02

Balancing

Collected against reported, reported against credited, credited against deposited. Location records are reconciled across different systems, refunds and invoices counted once, history consolidated on fiscal closings rather than open orders.

03

Exceptions

What balances needs no attention. The system shows the differences, says which location and which day they belong to, and keeps them open until somebody closes them.

Modules

All location accounting, in one place

Nine modules covering the full chain, from the first receipt to the bank deposit.

Takings

Daily takings per location, and the comparison between what was collected and what was reported, day by day and register by register.

Takings errors

Fiscal closings that were never transmitted, rejected or left halfway, listed with the date and the device to fix instead of a total that does not add up.

Payment reconciliation

Payments compared with credits: cash, card terminals, Satispay, meal vouchers and delivery channels, with the gap calculated and assigned to the location.

Cash deposits

Deposits made and deposits expected, cash tracked from the location to the bank without chasing paper slips.

Invoice reconciliation

Purchase invoices compared with delivery notes, differences by supplier and by item, history of the prices applied.

Invoice errors

Electronic invoices rejected by the exchange system or still pending, with the rejection code and the document to correct.

Closing history

Every daily closing archived and searchable: totals, gaps and who closed, even months later.

Area manager check

The morning review of yesterday’s closings, with the formulas already applied and the differences to confirm or explain.

AI assistant

A chat that queries accounting data in plain language, answers with the company’s own numbers and always cites the period and the source.

Granular permissions

Access by page, by location and by role. Entry is by invitation only, with reusable role templates and a dedicated admin panel.

Alerts and deadlines

Push notifications, automatic emails on gaps above threshold, a payment calendar and scheduled jobs that run on their own every night.

Exports

Every table exports to Excel, PDF or Word with the same structure you see on screen, ready for the accountant or the board.

The product

Real screens from the system

The same views the finance team uses every day, from head office to a single location.

Reconciliation built on documents, not estimates

The gap comes from comparing the registers’ fiscal closings, the issued documents and the payment channel movements. No manual upload, no parallel spreadsheet: the numbers come from the same sources that produced them.

  • An invoice counted once, a revoked document ignored, loyalty points kept out of takings.
  • Gaps above threshold flagged by payment channel and by location.
  • The assistant comments on the table automatically, without writing queries.

Closings and deposits that check themselves

Every evening the system collects the cash closing from all locations, calculates the differences and highlights only what needs a look. The area manager opens the list in the morning and sees the exceptions straight away.

  • Balancing formulas applied identically across the whole network.
  • Filled in from a phone too, with the same questions as the web.
  • History available and comparable across periods.

An assistant that reads the accounts, it does not invent them

The assistant queries the database read only and answers citing period and source. It has no write access, never leaves the perimeter of locations the user is allowed to see, and does not answer when the data is not there.

  • Read only access, with control over which statements can run.
  • The permissions of the person asking are respected.
  • Answers carry period, source and numbers you can check.
Multi platform

The same numbers, on every device

The iOS and Android apps are not a web page in a frame. They are native clients, written in the platform’s own language, talking to the same backend.

Web

The full environment, built for the finance team and for balancing work on a large screen.

iPhone

A native app for work on site, from the evening closing to checking the takings.

Android

The same menu structure and the same modules as the iOS version, aligned view by view.

Security

Accounting data stays where it belongs

The system handles takings, bank movements and fiscal documents. The architecture is built to close access by default and open it only where needed.

Access by invitation

You get in only if an administrator has enabled the account. Permissions by page and by location, reusable role templates and immediate revocation.

Private network

The database is not reachable from the internet. Services contact it on a private address through a dedicated network.

Managed secrets

No credentials in the code and no key that travels to the browser. Service passwords live in a dedicated vault and are rotated when needed.

Traceability

Every extraction leaves a trace. Ingestion anomalies are recorded and reported instead of being ignored in silence.

FAQ

Short answers

The questions that come up most often about what Food Finance does and how it is used.

Food Finance is the accounting system for networks with many locations. It collects takings, payments, deposits and invoices, compares them with each other and with bank movements, and shows the differences to clarify. It runs on web, iOS and Android with permissions by role, by page and by location.
They are two separate systems on the same engine. AtomicBI covers reporting, analysis and operations; Food Finance covers accounting and reconciliation. They share the database, the location records and the nightly extractions, so the numbers match, but each has its own domain, its own users and its own address.
The system is built by Investfood SRL and runs on its restaurant network, more than 100 locations across seven brands. The modules are written to be brand independent, so the same structure works for any network that has to balance the cash of many sites.
By invitation. An administrator enables the account and assigns the pages and the locations that user can see. Anyone not enabled cannot get in, and anyone enabled sees only their own locations.
Cash registers and point of sale systems, delivery channels, payment networks, bank feeds and electronic invoicing. The connectors run every night and write into a single relational data model after passing the quality checks.
Accounting extractions run at one in the morning, Italian time. By the start of the day the previous day’s fiscal closings are consolidated and the area review already finds the differences calculated. During the day, today’s figures arrive live from the orders.
